This position will be based at KL, Malaysia and reports to Country Finance Manager - SEA & Taiwan and is a part of Impossibly Fast team with members both at KL office in Malaysia and others across the SEA, with the ambition to support, challenge and develop each other on a daily basis.
The role as Administration Assistant - SEA&Taiwan/Australia
SEA & Taiwan
- Manage the end-to-end process for accounts receivable
- Manage the process of bank declarations for incoming funds.
- Invoicing PO in the ERP system.
- Perform data entry in the ERP system for customer payments, supplier invoices, and other relevant transactions.
- Handle administrative tasks, including vendor application forms and generating DHL delivery tracking numbers.
- Undertake ad-hoc activities as required
Australia
- Manage the end-to-end process for accounts receivable and accounts payable.
- Manage all accounting transactions and any other activities as deemed necessary.
- Manage company assets and cashflow
- Perform monthly/quarterly/yearly closing
- Report profit/loss statement and balance sheet to the manager on a regular basis.
- Prepare Forecast and Budgeting
- Liaise with banks on all matters, including bank declarations for incoming funds, account management, and resolving banking issues.
- Liaise with the auditor regarding audit submissions.
- Liaise with Tax Agent on monthly/Quarterly tax payments and submission of Tax Return
- Comply with company and country financial policies and regulation
- Maintain all financial data and documents accurately and safety
- Manage Payroll and HR admin including employee onboarding/offboarding, leave/claim management, salary processing, and statutory compliance (social insurance, WHT, etc.).
Job Requirement
- Bachelor’s degree in finance, Accounting, Business Administration, or a related field.
- Minimum 3 years in a finance and/or administrative role.
- Familiarity with accounting principles and practices.
- Experience working with ERP systems (e.g., Microsoft Dynamics).
- Strong data entry skills with a high degree of accuracy.
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills, with the ability to interact effectively with internal and external parties across different cultures.
- Proficiency in English is essential.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and attention to detail.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)
- Knowledge of Australian laws and regulations relevant to finance and administration
will be considered an advantage.
